Dining Terms and Conditions

Table Reservations Deposits (excluding Christmas)
For tables of 10 covers and above we require a deposit of £5 per person to secure your booking. This deposit can be made when booking online through our booking system ResDiary or over the telephone on 01603 744977. We will also require a pre order from tables of 10 and more; we will be in touch with menus in advance of your booking. For Sunday lunch reservations, we do not require a pre order, as the menu is finalised on the day.

Due to high demand for tables, if we haven’t received your deposit 48 hours in advance of your reservation, we will cancel your table.

On special event dates such as Valentines, Mother’s Day etc we require a deposit from ALL tables irrelevant of cover size. The value of deposit will vary depending on date, but is subject to the same cancellation terms set out below.

Deposits will be taken off the final bill on your reservation before payment.

Table Cancellations (excluding Christmas)
You can reduce numbers or cancel your reservation by email or telephone. We ask that you give us as much notice of cancellation as possible, we understand there are some extenuating circumstances that make this difficult and therefore have the following guidelines:

– a full refund will be given for cancellations made 48 hours in advance
– for cancellations between 48 and 12 hours prior to the reservation, the deposit cannot be refunded but it can be transferred to another date
– where there is a reduction in number of diners, as long as this is over 12 hours from the reservation, the deposit will still be taken off your bill. With less than 12 hours notice, the deposit will be non-refundable (unless we deem otherwise appropriate)
– no refund will be made for diners that do not show up and we are not made aware in the timescales listed above

Christmas bookings are subject to a different set of terms & conditions

Allergies
Should you have any special dietary requirements we will be happy to accommodate these if sufficient notice is given. All allergens are listed on our a la carte menu and daily specials menu. These can be provided to you in advance of your reservation for your perusal if required. Our team are knowledgeable about the ingredients in our meals and can provide assistance on any questions you may have. We however will need to know if wheat-free allergies are choice or intolerance to ensure the correct information is provided to you on the menu options.

We cannot guarantee any dish in our restaurant as nut free, this is due to the widespread use of nuts in our kitchen. Therefore we regret to inform you that we cannot accommodate anyone with serious nut allergies, unless you wish to visit at your own risk.

Accommodation Terms & Conditions

Deposits

Kings Head Bawburgh Hotel

A deposit of 25% of your stay is required to secure your reservation. This can be paid by debit card, credit card or BACS.

All room reservations will be considered provisional until a deposit has been received. Kings Head Bawburgh reserve the right to re let the accommodation if a deposit has not been received for 14 days from the original reservation.

Kings Head Bawburgh Holiday Apartments

A deposit of 25% for your stay is required to secure your reservation.

On arrival a damage deposit of:
£250 if stay is less than a week in duration
£500 if stay is over a week in duration will be taken to secure your booking and cover any damages. On checking the apartment your deposit will be returned within 48hours.

Confirmation and Cancellation of Rooms & Apartments:

In the event of a cancellation, deposits are fully refundable if written confirmation of your cancellation is received 21 days prior to the date of arrival. In the event of a cancellation within 21 days prior to the date of arrival, any monies paid minus the deposit are fully refundable. In the event of a cancellation made within 48 hours prior to midday on the day of arrival, the full amount of your booking will be charged.

We strongly recommend you take out holiday / travel insurance to cover cancellations or loss of deposits.

Please note:
During peak periods and special events such as New Year, as well as for group bookings of more than 4 rooms our cancellation period and terms change.

Group Bookings & Cancellation Policy:

If more than 4 rooms are required then a 50% deposit is required at the time of booking for each room.
Regarding cancellations for group bookings of 4 or more rooms:
If the rooms are cancelled between 28 days and 7 days prior to the intended arrival, then the 50% deposit is non-refundable.
If the rooms are cancelled within 7 days of the intended arrival then the 50% deposit is non-refundable and the remaining balance will be charged accordingly.
We do politely request that any guests arriving back into their accommodation in the early hours of the morning are considerate of any other guests that may be staying in the hotel.

Check In/Out

The bedroom accommodation is available from 4.00pm on the day of arrival, and must be vacated by 11.00am on the day of departure, late check out charges may apply unless the Kings Head has agreed specific alternative arrangements. Early check in can be arranged in advance for an additional £10 with check in available from 2:30pm. Late check out is available with prior arrangement (subject to availability) and is charged at £20 per hour. 

Check in is open until 10pm, except Christmas Day, Boxing Day and New Year’s Day. As we do not have a night porter if your arrival time is later than this then please contact us. If we are not notified then you may not be able to access your accommodation and your booking will be still be charged.

Children

Children up to 12 on a single folding Z bed are charged at £25 per night inclusive of breakfast. Travel cots are charged at £10 per night. Only our Tilney Suite and apartments have enough space to accommodate a Z bed or cot.

Children under the age of 16 must be accompanied by an adult at all times whilst sleeping in the rooms/apartments.

Breakfast

When booking direct on our website, all of our B&B rooms in the Kings Head Pub are inclusive of breakfast. Bookings made through a 3rd party site do not include breakfast. 
Additional guests can join you for breakfast, however prior notice is required, the menu can be found on our food and drink page. 
Our apartments are self-catering, although breakfast can be pre booked too.

Restaurant Reservations

We strongly advise all guests reserve their tables in our restaurant upon booking their room to avoid disappointment. Please be aware that should you wish to cancel your dinner reservation, we do require plenty of notice to ensure the table can be provided for other diners. 

Damages

The Kings Head reserved the right to charge guests for the replacement, repair or cleaning of items of property owned by the hotel or to the grounds of The Kings Head. Whether reasonable precautions to prevent damage were not taken, or if the damage is caused willfully, The Kings Head can charge your credit card without prior consent to the value required against invoice(s) incurred to rectify the damage.

All of our accommodation is non-smoking and if guests are found to be in breach of this rule then they may be asked to leave and we reserve the right to charge £100 for specialist cleaning of the room.

All of our accommodation should be treated with respect and any anti social behaviour that takes place on site will not be condoned, including the use of banned/illegal substances. The relevant authorities will be made aware of any issues and it will be requested that you vacate the property.

All of our accommodation is checked on a daily basis.

Special Offers and Discounts

All special offers and discounts are not available in conjunction with any other offer or discount. Special offers and discounts are not available on any Bank Holiday, over the Christmas and New Year period, Valentine’s Day, Mother’s Day, Easter Sunday or any other special event. The Kings Head Bawburgh reserves the right to withdraw or amend special offers and discounts at any time and without prior notice. Special offers can not be redeemed on reservations made prior to the release of the offers in question.

Events

Definitions: ‘The Kings Head Sporting Club Ltd.’ or ‘we’ is the Company Registration No. 0125221. ‘The Client’ or ’You’ is the organising body, company or organiser responsible for arrangements and payment for the event and will be stated on the contract document. ‘The Contract’ means a legal binding agreement between the Hotel and the Client for a specific booking or series of bookings. These Terms and Conditions will form part of the Contract together with any other terms stated in the Contract. The Contract is non-assignable and will be governed by English Law.

Charges and Payment

1 The balance of your account is payable in full before departure, unless prior arrangement has been made for your account to be invoiced.
2 The Kings Head requires at least 14 days’ notice prior to arrival to arrange any credit facilities, and reserves the right to refuse credit. Accounts must not exceed the agreed credit limit at any time.
3 Credit accounts are payable on receipt of invoice within 7 days, after the date of the invoice. All invoices are quoted and payable in pounds sterling.
4 Credit accounts will become overdue if not paid within 7 days, whereupon further credit applications may be refused.
5 Credit accounts not paid within the 7 days will also be subject to a 3% interest charge against the outstanding balance, charged weekly and then increased subsequently.
6 Guest’s individual accounts, which are not chargeable to the main account are payable on departure from the Hotel.
7 In the event of disputed charges, the undisputed part of the account is still payable within 7 days and subject to interest at 3% if not settled.
8 In the event of charges, not normally payable by the Client, not being settled by guests on departure from the Kings Head, the Client will be liable for all these charges. This includes charges that apply to applicable cancellations and to any guest that fails to show up for their reservation.
9 Prices quoted include VAT unless otherwise specified. This shall be at the rate prevailing when the Contract was prepared and is subject to alterations if the rate changes.

Confirmation of Reservation by the Client

10 All bookings will be considered as provisional until both the Client and the Kings Head sign the Contract. Once both parties sign the Contract the entire booking will be subject to these.

Terms and Conditions.

11 The Contract must be returned by the Client and received by the Kings Head. If we do not receive the Contract within 14 days, the Kings Head reserves the right to release the provisional booking and re-let the facilities.
12 Numbers for attendance must be advised to the Kings Head at the time of the booking and confirmed in writing and will then be contracted. Final timings, menus and special requirements must be confirmed to the Kings Head at least 14 days prior to arrival.
13 All prices are subject to change until confirmed by the Kings Heads authorised signature of Contract as detailed in the booking confirmation.

Amendments by the Client

14 Amendments to the guest numbers and/or arrangements must be confirmed to the Kings Head in writing.
15 Reductions in the duration or contracted value of the booking shall be subject to the Kings Heads cancellation policy.
16 No charges will be made for reduction of numbers of less than 5% from those stated on the Contract, provided they are received in writing by the Kings Head at least 14 days prior to arrival.
17 Any reductions in numbers within 14 days of the event will be charged at 100% if the facilities and related services are not re-sold.

Cancellation by the Client

18 In the event that all or part of an event accommodation booking being cancelled by the Client, the Kings Head will make every effort to re-sell the facilities.
19 Should cancellation of an event/booking fall within 60 days of the arrival date then a charge of 50% of the total contracted revenue will apply. If the event/booking is cancelled within 30 to 14 days of the arrival date the Kings Head cancellation policy is 95% on the contracted accommodation and room hire revenue and 70% on contracted food and beverage revenue. If cancellation is within 14 days then 100% of the contracted total revenue will be charged if facilities and related services are not re-sold.
20 Cancellations, postponements or partial cancellations, must be notified by the Client to the Kings Head both verbally and in writing at which stage you will be advised of a cancellation reference number and an estimate of the cancellation charge.
21 The final cancellation charge will be advised to you after the intended date of the event, when the estimated cancellation charge will be reduced by the amount of equivalent business that The Kings Head have been able to secure to replace your cancelled reservation.

Displays and Equipment.

22 If displays, merchandise, or exhibitions are to be used, the Kings Heads prior approval must be obtained. All activities must comply with statutory health and safety regulations. The Kings Head accepts no responsibility for the security, loss, destruction or damage to any items regardless of cause.
23 It is not possible to fix items to the walls, floors and ceilings of The Kings Head.

General

24 The Kings Head must comply with certain licensing and statutory regulations and requires the client to fulfil their obligations in this respect. All bars for non-residents must close at 11.00pm unless otherwise specified and licensed. All bars for residential guests are subject to close at times specified at the discretion of the management.
25 No alcohol or food is to be brought into the Kings Head by the client unless it is as a gift to guests/clients, and in turn must not be consumed on the premises. Guests are requested to use the Kings Head wine list and products at all times. This does not apply to the self-catering apartments.
26 In accordance with section 2(3) of the Hotel Proprietors Act 1958, the Kings Head accepts no responsibility to the Client in respect of any such claims made against the Client by any member of their guests/group in respect of loss or damage to their property.
27 Should any delegates/guests be unable to correct an aspect of poor behaviour or activities that are deemed offensive or unacceptable to the Kings Head (including the recording of pornographic material), the Kings Head reserves the right to terminate the guest’s stay and no monies will be refunded. The manager’s decision is final.
28 Insurance can be arranged to protect you and your event against cancellation or abandonment with a minimum sum insured based on the anticipated income to the Kings Head. Insurance can also cover non-appearance of speakers or delegates, property damage to the venue and its contents, third party bodily injury and third party damage. The Kings Head does not accept liability for these.
29 The Kings Head will not be liable for any failure to provide or delay in providing facilities, services, food or beverage as a result of events or matters outside of its control, including industrial action by either staff or contractors.
30 It is incumbent upon all organisers of events to ensure that all participating persons are aware of the above conditions.
